This is a working design walkthrough of the workspace a vault partner's team uses inside Toko — everything your staff need to receive, verify, store and ship collectors' items, in one place. Access is granted per vault location, and you manage your own team and roles. The flow, end to end: shipment arrives → your team verifies & vaults each item → the item lives on-chain with your vault's records attached → when a collector redeems, you ship it and get paid your own rates, directly. Screens show sample data; the design is in active development and we'd genuinely like your input on it.
01Pick a locationAccess is per vault location. Each person on your team sees only the vaults they've been granted, and frequently used vaults can be pinned to the app sidebar for one-click access.
Vault management
Vault management
All vaults.
Here are all the vaults you have access to. Select one to manage.
02The vault workspace — two rolesEvery page in a vault carries the vault's own navigation: Overview, Shipments, Inventory and Redeemed — plus Profile and Access for managers. Two roles keep it simple: Overseer (managers — full control, top bar) and Dweller (day-to-day staff — the reduced bar shown below).
03Your vault profileWhat you offer, in your words: the vault's story, facilities, products you accept, the regions you ship to, and a shipping contact. The facility address is visible to your team and Toko only — it is never public.
04Your team, your controlAdd and manage your own staff per location. The permissions matrix spells out exactly what each role can and can't do, and the provider's own account is always the location's first Overseer.
Added by their existing Toko account — access to this location only, effective immediately.
See "What each role can do" on the Access page.
05Incoming shipmentsEvery inbound shipment in one list — en route → delivered → processed — with search and status filters, so nothing arrives unannounced.
06A shipment on its wayWhile en route, the shipment is view-only. When it arrives, one action: Mark as delivered — the sender is notified automatically.
Are you certain that shipment from Graded Legends with JD014600003RS has been delivered? Vault One will be notified that you have received the shipment.
07Delivered — check it inOnce delivered, your team processes the contents one item at a time. When every item has been accepted or rejected, the shipment is complete.
08Verify an itemThe heart of the workflow. Left: the item exactly as collectors see it, with the certificate number to verify against the physical slab. Right: your acceptance form — add your vault's own photos, record the insured value, and accept to vault it. Anything wrong? Reject and flag it back with a reason.
For insurance and dispute records between creator, vault and a future redeemer — these never touch the token's own assets.
Leave blank if covered by the facility-wide policy.

The creator chooses: return it or vault it anyway. Missing items are simply recorded as missing.
09A vaulted itemCollectors always see the same token page they'd see anywhere on Toko; your vault's appended record — status, vault photos, insured value, vault id and location — sits alongside, visible only to the right people.
10Inventory at a glanceEverything in this location as a card grid, status badges up front (Vaulted · Redeem requested · Return requested) so flagged items jump out. Bulk-select to apply shipping details to a return batch or update storage locations in one go.
10Redeem Requested — per-item fulfilmentOpening a redeem-requested card starts fulfilment: retrieve → package → label → ship, one item at a time; a hint offers combining a same-redeemer parcel.
Same redeemer, more items: the owner of Kaiju Prime also has 2 other redeem-requested items in this vault — consider combining them into one parcel with one tracking number.

11Redeemed — everything that leftThe permanent outbound record: what shipped, where it went (country only), when, with which carrier and tracking — so your team can answer any enquiry, any time.
